We are looking for a People Operations Coordinator to join Domin on a 12-month fixed-term contract, based at our city-centre office.
This is a role for someone who takes real pride in making things work properly. You will be at the centre of the day-to-day administration behind our employee experience, making sure People processes are followed, records are accurate and important details don’t get missed.
You will coordinate key parts of the employee lifecycle, from recruitment administration and onboarding through to employee changes and offboarding. You will maintain our People records, manage absence and right-to-work administration, coordinate final-stage recruitment activity and be the first point of contact for straightforward queries through our HR inbox.
One of your most important responsibilities will be onboarding. We want every new employee to arrive at Domin with everything ready for them and to experience an organised, thoughtful welcome that reflects the standards we expect as a business.
You won’t be expected to make HR policy or employee-relations decisions. You will, however, be expected to take ownership of the processes within your remit, know when something needs escalating, follow through without being chased and hold others to the process when information or actions are outstanding.
You don’t need an HR background to succeed here. You could already work in People Operations, or you could be an excellent administrator or coordinator looking to apply those skills in a People environment. What matters most is that you care about doing the right thing, pay attention to detail and take responsibility for getting to the right outcome.
The role can be full-time or part-time and is based at Domin’s city-centre office.
Key Responsibilities
- Be responsible for day-to-day People administration, ensuring employee records, absence information, right-to-work documentation and employee changes are accurate, complete and kept up to date.
- Coordinate recruitment administration, including arranging final interviews, maintaining accurate candidate records and ensuring hiring managers have completed required steps, such as interview scoring, before candidates progress.
- Be responsible for the administrative side of onboarding, ensuring contracts, documentation and right-to-work checks are completed accurately and on time.
- Coordinate with teams across Domin to ensure new starters have everything they need for day one, including equipment, systems access and practical arrangements, and receive a well-organised experience that reflects Domin’s standards.
- Coordinate offboarding administration, ensuring documentation, employee records, equipment returns and removal of systems access are completed thoroughly and on time.
- Manage the HR inbox, resolving straightforward factual and process queries independently and escalating anything requiring HR judgement, policy interpretation or a people decision to the Head of People.
- Keep People processes moving by proactively following up on outstanding actions with employees, hiring managers and other teams rather than allowing gaps or delays to go unresolved.
- Understand the People processes and tools already in place, identify practical opportunities for improvement, and help implement agreed changes to make administration simpler and more reliable.
For a full-time appointment, the role may also include occasional practical office administration, such as ordering supplies and coordinating facilities issues with the landlord.
Essential Requirements
- Diligent and detail-focused, with high standards for accuracy and completeness.
- Highly organised, able to manage multiple processes and deadlines without things falling through the cracks.
- Outcome-focused and accountable, taking ownership of work through to completion and proactively following up with others when needed.
- Good judgement, able to follow established processes, resolve straightforward issues independently and recognise when something needs escalating.
- Clear and professional communication, with the confidence to work effectively with employees, candidates and hiring managers.
- Trustworthy and digitally capable, comfortable handling confidential information and quickly learning the systems and workflows needed to do the job well.
Beneficial Requirements
- Previous experience in People Operations, HR administration or a similar role.
- Experience coordinating recruitment or onboarding processes.
- Familiarity with right-to-work or other employee compliance administration.
- Experience using Airtable or similar workflow/database tools.
- Experience working in a growing technology, engineering or manufacturing business.
- Experience identifying and implementing practical improvements to administrative processes.
